Entrance management
An entrance that flows through generates extra revenue for you.
We have been present at the entrance of events and festivals for twenty years. With the right setup, your visitors spend less time in line and arrive on your grounds sooner. Our experience shows that this is reflected in your revenue.

What a line can cost
As an organizer, you rarely see the line at your entrance yourself. You are on the grounds, and everything looks fine there. Take a festival with 15,000 visitors, 6,000 of whom arrive during the busiest hour. There are 23 security guards at the security check. That is enough for an hour with 4,000 visitors, but too few for that busiest hour. This is what happens then:
- 8
- Too few security guards during the busiest hour: 23 instead of 31
- 27 min
- waiting time at the busiest moment, instead of 5
- 8,400
- visitors wait longer than five minutes, up to well over an hour after the peak
- €12,000
- on lost spending, at €5 per visitor per hour
A calculation example using the calculation tool on this page, assuming a steady inflow, Zebra scanners, and a standard visitation. The amount assumes that those admitted later will not catch up on that expenditure. It is an indication, not a guarantee.
Scan and visitation
The entrance is more than the scan
A visitor is only admitted after the ticket scan and the security check. Scanning a ticket takes a few seconds, while a security check takes an average of twenty to thirty seconds. How you organize the time in between determines whether the scan can continue uninterrupted. That is why we look at the entire process, from the front line to beyond the security check.

Advice from A to Z
Based on your site plan, the number of visitors, and the expected flow, we design the ideal layout for your entrance.
-
The right staffing
During a peak influx, one scanner operator for every seven to ten security guards is realistic. With 30,000 visitors and 90 security guards, that is approximately ten scanner operators. We tailor the staffing to your expected influx, ensuring you have enough people on duty and none too many.
-
Connection arranged
Scanning is performed online, ensuring that every check is based on the most up-to-date data. If there is no network on your premises, we can provide one using our own network and Wi-Fi equipment, including Starlink connections.

Calculate it yourself
How many scan positions and security guards do you need?
Choose your scanning equipment, the strictness of the security checks, and how your clientele arrives, and enter the number of visitors you expect per hour. You will immediately see how many scanning stations and security guards you need per hour and what your busiest hour requires.
-
Scanners with margin, even during a peak
We calculate using 85 percent of the maximum a scanner can handle per hour. This allows for a ticket that is not immediately readable or a visitor with a question. If your audience arrives in waves or in a single peak, for example after a train or shuttle bus, the calculation tool calculates this per minute.
-
Inspection with a realistic lineup
A check without a queue requires more security personnel than you have. You choose the waiting time you find acceptable and immediately see the impact on your staffing. We factor in a buffer zone between the scan and the check that accommodates ten percent of your visitors. Light checks take an average of ten seconds per visitor, normal checks twenty, and strict checks thirty.
-
How many security guards do you have at your entrance?
Not all your security guards are stationed at the entrance. In this calculation tool, we assume one security guard for every 150 to 200 visitors for the entire event. Local requirements for your event may differ. Enter how many of them have a fixed position elsewhere on your grounds to see how many remain for the security check. Support teams often assist with the security check first and then proceed onto the grounds.
-
The sum is the beginning
Whether you achieve these numbers in practice depends on your setup and walking routes. That is where our work comes in. Leave your details, and we will take a look with you.

Longest waiting time: for the scan 0 min, during the visitation 0 min.
Rule of thumb for your entire event, with one security guard per 150 to 200 visitors: security guards, including permanent positions and support teams. After deducting your fixed positions, there remain about for your entrance.
The inspection requires more security guards than the rule of thumb allows for your entrance. Discuss this with us and your security company, and together we will create the right plan.
A tentative initial indication based on the information you provide. Experiment with the settings to see the differences. We calculate with 85 percent of the maximum speed per scanner and a buffer zone for 10 percent of your visitors, unless you enter a specific number yourself. The visitation times are averages. For the total number of security guards, we calculate with one guard for every 150 to 200 visitors in this example; local requirements may vary. No rights can be derived from this indication.

Real-time intake, to be shared with your ECC
On the day itself, the Entrance Manager shows whether the influx is proceeding as expected. Your Event Control Center sees a wave approaching and knows that it will get busy at the bars shortly afterward.

From brainstorming to taking everything completely off your hands
Do it yourself with our tools
You set up your entrance yourself and work with the scanner app and the Entrance Manager. The calculation tool on this page provides an initial guideline for your staffing.
Preliminary advice
We calculate your entrance setup based on your site plan and your expected influx. You will receive a plan for layout, equipment, and staffing. It often turns out that it can be done with less and simpler equipment than is currently in place.
Outsource entrance
A SimpleTicket entry coordinator manages your entry on the day itself, with scanning staff who have extensive experience with our system and setup method. Your own scanning staff can join in. The coordinator maintains close contact with security.
Frequently Asked Questions
Questions about entrance management
Do I earn back a better entrance?
We expect so. Visitors who arrive early stay longer on the premises and generally spend more. Additionally, you save on materials, setup time, and staff. The exact amount varies per event. Therefore, we provide you with a substantiated estimate in advance, based on your specific site and visitor flow.
Where are the cost savings?
An efficiently designed entrance requires less material, less setup time, and fewer scanning staff. Many entrances are over-equipped more than necessary. We will show you where this applies to your situation in our advice.
Who will be there on the day itself if I outsource the entrance?
A SimpleTicket entrance coordinator, with scanners who know our procedures. If you wish, we can supplement the team with your own scanners.
How accurate is the calculation tool?
This is an initial indication of your hourly occupancy. The calculation tool allows for a margin regarding the speed of the scanners, uses average visitation times, and assumes a waiting time you consider acceptable. The layout of your entrance determines whether you achieve these numbers in practice. No rights can be derived from the outcome.
Do you work with our security?
Yes. We have been working with the largest security companies for years and coordinate staffing and intake directly with them.
What do you need for advice?
The drawing of your site, the number of visitors, and the expected influx over the day.
